Mirrored Storage provides high-volume document scanning services, back-file or day forward, by employing a batch scanning strategy utilizing state of the art software & high speed scanners. Our scalable infrastructure allows us to ramp up for high-volume capture projects within a minimal amount of time. Our systematic approach and procedures enable us to execute projects very efficiently.

Capture data while Scanning

Our technology enables us to capture data at different points in our production process, including the paper scanning phase. An example of this is reading barcodes that can contain valuable information that relates to a document, i.e. file number or document description. These barcodes are interpreted by the software and electronically assigned to that document while the data values are stored for later use in the production cycle (the indexing phase). The flexibility of our production software allows the stored data values to be assigned to any level of document organization; i.e. box, folder, document or page.

Image Enhancement and Scan-QC

Image Enhancement and Scan-QC are standard procedures in ALL Mirrored Storages imaging processes. Image Enhancement is an automated process whereby all images are digitally cleansed of background noise, skews, and borders. Scan-QC is a quality control process where a technician visually compares each and every page to its respective image, ensuring 100% capture of all client documents. If the quality of an image does not meet our standards the page is rescanned to provide the client with the Best-Image-Possible (BIP). These two processes, when used in tandem, provide a two tiered image quality safety net that ensures the capture of every page and the highest image quality.

On-Site Scanning

Mirrored Storage has extensive experience in deploying on-site scanning configuration to accommodate custodial guidelines when documents cannot leave the client site. We will go on-site and provide any number of scanning and post-scanning services. In most cases, once the images have been captured and verified, they are sent to our central production facility in Houston for further processing. If clients cannot allow the electronic images to leave the site, we will deploy a complete on-site setup that can accommodate all post-scanning production needs.

Large Format Scanning

Mirrored Storage provides large format scanning services to digitize engineering drawings, blueprints, well logs, EKG print-outs, and maps.

Indexing/Coding

There are a number of ways to capture critical data, i.e. Name, Employee-ID, Document Type, Date, Author, Recipient, CC, Title, Subject, etc., from a document set. One way is to manually index information from an image (data entry) and another is to electronically populate information from an existing source, i.e. spreadsheets, databases, Word tables, and other document management systems, using barcode technology or post-process integration. Our ability to leverage existing data translates into cost savings for clients by reducing the amount of traditional manual indexing. Mirrored Storage ensures that all data is (i) visually checked for quality and (ii) normalized for consistency. The outcome is a higher quality data which directly improves the accuracy of search results and efficiency in locating documents. Mirrored Storage offers both domestic and offshore coding to provide pricing appropriate to each project.

Image/Document Conversion

Mirrored Storage offers a wide array of image and document conversion services that range from Image-to-Image, Electronic document-to-Image, Image-to-OCR text files, Emails-Attachments & Meta Data extractions-to-Image and Electronic Numbering.

Image-to-Image

There are three components to an image -  format, type (single or multi-page), and file-naming convention. Mirrored Storage can convert one or all three components of an image depending on the needs of our client. In addition to delivering re-formatted images, we can deliver any variety of image and data load files for direct importing into any Document Management System.

Electronic Document-to-Image

Mirrored Storage provides services that convert text-based electronic documents or native files into digital images. As these documents are converted, we can output the images into variety of image formats, types, and file-naming conventions.

EDD - Email Conversion

Mirrored Storage can extract Email files and convert them into any variety of image formats. In addition to image output, Mirrored Storage can extract metadata and deliver it in a cross reference database including system generated Document & Attachment IDs for each email message and all respective attachments. A key step in our Email extraction/conversion process is De-duplication. This step filters out duplicate emails, thus, eliminating unnecessary cost to our clients.

Optical Character Recognition

Mirrored Storage can convert digital Images into text based files by using Optical Character Recognition (OCR). We can generate multiple text outputs and Image with text outputs. Some examples are rich text file (RTF), standard text file (ASCII), TIFF with text, PDF with text, etc. The text output can be used as a tool for searching and retrieving a document, provided that the client's document management system supports Full Text searches.

Electronic File/Native File Conversion

Mirrored Storage can convert text-based electronic documents or Native files into a variety of image formats and file naming conventions. Examples of electronic documents are Word files, Word Perfect files, and Excel spreadsheets.
